How do I update the information in a SED that I have already sent?

AD_BUC_10_Subprocess: Update SED

Description:

The Administrative sub-process 'Update SED' is used in a situation when after sending a SED, you have discover that you need to send an updated version of your SED which communicates corrected or additional information to the recipient.

Precondition for using this sub-process is that the SED type allows it to be updated.

There are no restrictions regarding the situations in which sub-process 'Update SED' can be used, however, there are more simple and more complex possible scenarios:

A simple example: one SED update could correct a misspelling in a non-critical area. As a result, the process is not affected and can continue without doing anything

A complex example: the Case Owner corrects the PIN of the citizen after the Counterparty started processing the claim.

This will have larger implications. Considering that the mistake can be spotted even after financial exchanges took place, this can result in a wide range of results, ranging from national corrections to related Recovery processes being started.

Situations where an update is necessary should be treated on case by case basis, involving clerks assessing the situation and taking a decision on how to go forward.

Legal Base:

The legal base of this sub-process is found in the following EC Regulations:

1. Basic Regulation (EC) No 883/2004

2. Implementing Regulation (EC) No 987/2009

Glossary of relevant terms used in AD_BUC_10_Subprocess:

Participant

The Triggering Participant (you) is an active participant in the main process who triggers this BUC. This will be an Institution where the main process permits their role to do so Other

Participant(s)

Other Participant(s) represents all other active participants in the main process. This will be one or more Institutions as determined by the main process.

Steps:

To do so, you have to fill out a new version of the SED that you sent initially (with an incremented version number) and send it to the same Other Participant(s) that received the original SED.

The Other Participant(s) receives the new SED and it is clear that this SED contains the up to date information and that the old version should not be used anymore.

Special requirements:

- Active participants in this case are those participants defined in the parent process which invoked this sub-process.

- Note that the SED must be sent also to the newly added participants or ones that the case has been forwarded to. It shouldn't be sent to any participants that have been removed from the case through either removing the participant or the old institution after the case has been forwarded to a new institution.
