Procedures for activating the Professional Word Processor and beginning a word processing session are different for hard disk systems than for dual floppy standalone systems.

Beginning A Session On Hard Disk Systems

If your system does not immediately activate the word processor at sign on (refer to Signing On to the System, earlier in this section), you begin a word processing session in either of two ways:

• by displaying the Initial Word Processor screen (refer to figure 2-2)

• by opening documents from the Executive

When you display the Initial Word Processor screen, you can use the function keys to open a document, or choose from a range of other operations. When you open documents from the Executive, you can specify and immediately open as many as seven documents, bypassing the Initial Word Processor screen.

To open a document, you specify a document name~-either a new document you want to begin entering, or the name of an existing document you want to review or revise.

Displaying The Initial Word Processing Screen

To begin a session by displaying the Initial Word Processor screen, use the following procedure:

1. Enter the Command PWP in the Command field; then

p~ess GO. The following display appears:

where x.x.x indicates the version number.

2. After a few seconds, the Initial Word Processor screen appears (refer to figure 2-2).

You' can proceed by opening a new document or an existing document (refer to Opening a Document from the Initial Word Processor Screen, later in this section).

Opening Documents From The Executive

To begin a word processing session and open one to seven documents from the Executive, use the following procedure:

1. Enter the Command PWP in the Command field; then press RETURN. The following display appears:

2. Enter the name(s) of the document(s) you want to open in the highlighted [Document(s)] field. The following rules apply:

• You can open a maximum of seven document names.

• You can include letters, digits, and punctuation marks, but not spaces, within a document name.

• If you enter more than one document name, you must separate each one with a space.

• If you enter only one document name, your entry can be up to 46 characters long.

• If you open more than one document, your entry can be up to 61 characters long (including spaces between document names).

NOTE

Do not use -old or -new at the end of your document's name;

the system reserves these designations for its own use.

3. Press GO. The system displays the following message below the command form, then displays the Document screen (refer to figure 2-4).

where x.x.x indicates the version number.

If you are opening more than one document, each document appears in a separate window in the text area (refer to Text Area, later in this section).

You can now enter new text or revise the existing text.

NOTE

If you do not specify a document in step 2 above, the Initial Word Processor screen (refer to figure 2-2) appears when you press GO.

Beginning A Session On Dual Floppy Standalone Systems On dual floppy standalone systems, the Initial Word Processor screen (refer to figure 2-2j appears when you finish signing on to the system.

you can proceed by opening a new document or an existing document (refer to Opening a Document from the Initial Word processor Screen, later in this section).

Initial Word Processor Screen

The Initial Word Processor screen (refer to figure 2-2) is divided into three sections:

• the Ruler display at the top of the screen

• an area of 20 or 21 blank lines

• the Function Key display at the bottom

You cannot change the Ruler display or enter text at this time; you must use the function keys to enter commands, or end the current word processing session.

When you press one of the labeled function keys, the system responds in one of the following ways:

• performs the operation without requiring further action on your part

• displays a form, menu, or prompt requiring further input from you

• changes the labels and functions of the function keys

pressing any of the unlabeled function keys has no effect.

Opening A Document From The Initial Word Processor Screen

After beginning a word processing session by displaying the Initial Word Processor screen, you can open a new document or an existing document.

Opening A New Document

A new document is one you open for the first time. To open a new document, use the following procedure:

1. Press the Open key (f3); the Open Document form (refer to figure 2-3) appears at the bottom of the screen. The Document name field is highlighted.

2. Enter a document name. Document names can be any combination of up to 46 characters.

Press NEXT (or RETURN). The highlight moves to the Password field. If your office procedures include assigning passwords, enter a password for the document.

If you wish to copy the text of an existing document as a new document under the name you entered in step 2, press NEXT (or RETURN) twice;

the highlight moves to the Copy from document field.

The Allow changes? field does not apply to new documents. If you specify NO, system displays the flashing message please specify

"Allow changes: Yes".

5. Enter the name of the document you want to copy;

then press GO The system displays the following flashing message:

6. Press GO again; the Document screen (refer to figure 2-4) appears on the display. If you entered a document name in step 4, the system displays the document. You can now enter text.

Opening An Existing Document

An existing document is one that you or another user has previously opened. To open an existing document, use the following procedure:

Press the Open key (f3); the Open Document form (refer to figure 2-3) replaces the Function Key display at the bottom of the screen. The Document name field is highlighted.

Enter the name of the document you want to open;

then press NEXT (or RETURN). The highlight moves to the Password field.

Enter the document's password (if any), then press NEXT (or RETURN); the highlight moves to the Allow changes? field.

4. The default is Yes. If you want to revise the text of the document or type new text, leave this field blank (or enter the letter y or Y for Yes).

If you want to review the document without changing i t , enter the letter n or N for NO.

NOTE

The Copy from document field does not apply to existing documents.

5. Press GO; the Document screen (refer to figure 2-4) appears on the display, with the first page of the document you specify in step 2.

Performing Other Operations From The Initial Word Processor Screen

You· can perform other operations from the Initial Word Processor screen by pressing other functions keys. For example, you can perform a Print operation by pressing the Print key (f2). Detailed explanations of these operations appear in the appropriate sections of this manual.

Document Screen

The Document screen (refer to figure 2-4) is divided into four areas:

• the Ruler display occupies the top two lines

• if you have a document open, the Document status line occupies the third line (if you open more than one document, each window has its own Document status line)

• the Text Area occupies the next 22 lines (23 lines in some systems)

• the Function Key display occupies the bottom three lines.

Ruler Display

The Ruler display (refer to figure 2-4) serves as a guide to help you format text (text formatting is discussed in

sections 4, 5, and 6). Its length indicates the width of the page. The ruler is divided into inches, half-inches, and further subdivisions determined by the pitch (refer to Changing Pitch, in section 4); the space between each mark on the ruler represents one character.

A second cursor (the Ruler Display Cursor) parallels the movement of the cursor, indicating where the cursor is positioned within a line on the page. This helps you determine margin, tab, and indent settings.

The system places special symbols inside the Ruler display to indicate the formatting parameters in effect within the paragraph where the cursor is currently positioned on the page.

Document Status Line

The Document status line (refer to figure 2-4) presents the following information:

the name of the document

the number of the page in which the cursor is located

the number of the line in which the cursor is located

Each window you open has its own Document Status line.

Text Area

When you open a new document, the system opens a window for it inside the Text Area (refer to figure 2-4). Initially, the window consists of a Document Status line and one blank line between two parallel broken lines. The text you type appears inside the window. As you add text to your

document, the window expands to include it.

When you open an existing document, the system opens a window and displays the document inside it. It has a Document status line at the top, a broken line just above the first line of text, and another just below the last line.

You can open as many as seven documents and seven windows within the Text Area.

Function Key Display

The Function Key display (refer to figure 2-4) tells you which operations you can currently perform using the variable function keys.

The Function Key display is a highlighted field, divided into ten sections corresponding to the ten variable function keys, with labels in reverse video that indicate the

operations the keys perform at the current level.

When you open a document, the Levell Function Key display (refer to figure 1-6) appears at the bottom of the screen.

When you press one of these keys, the system assigns

different functions to them; i t also changes the labels in the Function Key display correspondingly. In this way, each function key can perform several different operations (refer to Function Keys, in section 1).
