ACCESSING AND DISPLAYING TEXT

The Professional Word Processor's access and display features allow you to display edit codes, move the cursor rapidly through documents, and find specific te~t sequences.

Visible Feature

When you press a text formatting key, such as TAB or RETURN, the system inserts an edit code into the text. The Visible feature makes characters representing these edit codes appear on the screen; you can also view text without

displaying them. Table 3-1 illustrates the Visible feature characters.

Press Visible a third time: all edit codes disappear.

While most edit code characters do not appear on th~page

when you print it, some do (refer to Special Formatting Characters, in section 4).

To activate the Visible feature, use the following procedure:

1. Press CANCEL one or more times until the Levell Function Key display appears at the bottom of the screen (refer to figure 1-6).

2. Press the Home key (f1). The following Function Key display appears:

4. Press the Visib1e key (f6). If any of the following edit code characters exist in your document, the system displays them (refer to table 3-1):

• space

• paragraph (RETURN)

• carriage return (SHIFT-RETURN)

• synchronization mark

following edit code characters exist within your document, the system adds them to the display

(refer to table 3-1):

6. Press the Visible key again; all edit codes disappear.

The edit codes remain on the display until you finish the word processing session, or press the Visible key to remove them.

Jumping

The Jump feature allows you to move the cursor through a document in specific text segments. You can move the cursor forward or backward through the text by jumping from word to word, sentence to sentence, paragraph to paragraph, etc.

You can also use the Jump feature to display a particular page within a document, or to jump to the beginning or end of the document.

Jumping By Text Segments (OFISkeyboard)

On systems with the OFISkeyboard, you use the text segment keys (refer to Text Segment Keys (OFISkeyboard Only), in section 1) to jump the cursor by text segments.

To jump the cursor forward, press the function key that indicates the amount of text you want the cursor to jump.

To jump the cursor back, hold down CODE and press the function key at the same time.

NOTE

The COL key applies to tabbed columns only, not to synchronized or serpentine columns (refer to Columns, in section 6).

Table 3-2 presents the cursor movements that occur when you press each key or combination of keys.

Jumping By Text Segments (B 25 K1/B 20 Keyboards)

On systems with B 25 KI/B 20 keyboards, use the following procedure to jump the cursor by text segments:

1. Press CANCEL one or more times until the Level I Function Key display (refer to figure 1-6) appears at the bottom of the screen.

2. Press the Functns key (f2). The following Function Key display appears:

4. To jump the cursor forward, press the function key that indicates the amount of text you want the cursor to jump.

To jump to a specific page in a document, use the following procedure:

Jumping To The Beginning Or End Of A Document

To jump to the beginning or end of a document, use the following procedure:

1. Press CANCEL one or more times until the Level 1 Function Key display (refer to figure 1-6) appears at the bottom of the screen.

2. Press the FUDctns key (f2). The following Function Key display appears:

Searching

You use the Search feature to locate specific text strings (that is, sequences of characters and spaces) in a document.

The search starts from the position of the cursor, and proceeds forward through the text to the end of the document, or until you cancel the search.

The Search feature identifies text strings that match the one you specify, but disregards any associated formatting such as boldface or underlining; for example, you cannot search for only the boldface occurrences of a text string.

To perform a Search operation, use the following procedure:

1. Press CANCEL one or more times until the Level 1 Function Key display (refer to figure 1-6) appears at the bottom of the screen.

2. Move the cursor to the location where you want the search to begin.

3. Press the FUDctns key (f2).

On systems with B 25 Kl/B 20 keyboards, the following Function Key display appears:

On systems with the OFISkeyboard, the following Function Key display appears:

4. Press the Search key (f2). The Search form (refer to figure 3-2) replaces the Function Key display at the bottom of the screen; the Search for field is highlighted.

5. Enter the text string you want the system to search for; then press NEXT (or RETURN). The highlight moves to the Check caps field.

If you accept the default (NO), the system disregards capitalization and stops at matching

text strings without comparing upper- and lowercase characters.

6. Enter Y or y for YES if you want the system to recognize only those matching text strings having the same upper- and lowercase characters as the original text string you specify in step 4.

7. Press GO; the highlight disappears, and the

following message appears at the top of the form:

Searching... (Press CANCEL to interrupt) When the system finds a matching text string, it halts the search and highlights the string.

You can make a revision in the text, or leave it unchanged and resume the search (search for the next occurrence of the text string). To remove the highlight, hold down CODE and press MARK at the same time.

8. To resume the search, press GO. The system repeats step 6.

9. Repeat step 7 until you reach the end of the document, or terminate the search by pressing CANCEL.

If the system does not find any matching text strings, the Search form remains on the display; when the system completes the search, it displays the following

flashing message above the Search form:

Not found

The highlight reappears in the Search for field. If you want to perform another search, use the BACKSPACE key to delete the original text string, and type another; or press CANCEL to terminate. the operation.

NOTE

The text string remains in the Search for field until you perform a Save operation.

Searching And Replacing

You use the Search and Replace feature to locate a specific text string (that is, a sequence of characters and spaces) in a document and automatically replace i t with another.

The search starts from the beginning of the of the document and proceeds forward through the text to the end of the document, or until you cancel the operation.

NOTE

To perform a Search and Replace operation on a limited portion of text, you select the text before initiating the operation (refer to Selecting Text, later in this section).

The Search and Replace feature identifies text strings that match the one you specify, but disregards any associated

formatting such as boldface or underlining; for example, you can not search for only the boldface occurrences of a text string.

To perform a Search and Replace operation, use the following procedure:

1. Press CANCEL one or more times until the Level 1 Function Key display (refer to figure 1-6) appears at the bottom of the screen.

2. Press the Functns key (f2).

NOTE

You can use the function keys to select and enter a text string in the Search for field. Use the following steps:

• Before you press the Replace key (fl) in step 3, move the cursor to the first word in the text string you want to select.

• Use the text segment keys to select the text.

• Move the cursor back to the Search for field, then press COpy while you hold down the SHIFT key.

Press NEXT (or RETURN).

Enter Y or y for YES if you want the system to recognize only those matching text strings having the same upper- and lowercase characters as the original text string.

8. Press NEXT (or RETURN); the highlight moves to the Alter caps of replacement field.

9. The default is YES; if you accept i t (or enter Y or y for YES), the system matches the

capitalization of the replacement text string to the original string.

When you enter a YES response, the system

determines capitalization by checking the first two letters of each text string i t replaces. The system preserves capitalization at the beginning of a sentence, but does not capitalize a matching string in the middle of a sentence.

If the text string you enter in the Replace with field includes any capital letters, the system does not change them to lowercase when i t makes a replacement, even if the Alter Caps of replacement field response is YES.

If you enter N or n for NO, the system makes replacements regardless of the capitalization of the original text string.

10. Press NEXT (or RETURN); the highlight moves to the Confirm each field.

11. If you enter N or n for NO, and then press GO, the system searches and replaces according to your specifications without displaying the replacement process.

If you enter Y or y for YES in the Confirm each field, the system flashes the following message above the Replace form each time i t finds a match:

Press GO to replace, NEXT to skip item, CANCEL to cancel command

If you press GO, the system makes the replacement, then searches for the next match.

If you press NEXT, the system leaves the current match as i t is, and searches for the next match.

If you press CANCEL, the Replace form leaves the display, and the system cancels the operation.

At the completion of each Search and Replace operation

(including one you cancel), the system reports the number of replacements i t makes at the bottom of the screen. Press CANCEL to dismiss the message; the Function Key display appears.

If the text string you specify in the Search for field does not match any in the text, the following flashing message appears at the bottom of the screen:

Not found

To enter a different text string, you press CANCEL (or any key) to dismiss the message; the Function Key display appears. Press Functns and Replace to display the Replace form again.

NOTE

If you leave the Replace with field blank, the system deletes the original text string.
