Aufgabe 1 Reading comprehension 20 Punkte

The following text includes some challenging vocabulary. Please read it and answer the questions below. Please write the appropriate letter a), b) or c) on your answer sheet.

One of the most common complaints made by frustrated staff is that a boss or colleague is a control freak. But what exactly does it mean to be a control freak?

Why are people like this? Can they be helped or changed?

Control freaks think of themselves as captains of their ships and the masters of their fates. Not to be in charge is, for them, terrifying: their world must be orderly, predictable, fair and manageable, and if it is not, they will do their very best to make it that way.

Normally, we control people through charm and negotiation, or through carrots and sticks. Influencing people is a skill, one that salespeople learn. They know that people are neither totally controllable nor predictable but that, with the right mix of sensitivity and flexibility, one can do a lot to influence them.

Control freaks, however, lack insight and charm. They are mistrustful and don’t delegate or empower. They may spy on their staff and unjustly accuse people of crimes. They may explode with anger at being unable to get what they want, or suddenly attack someone. That is why they are known as such terrible beasts.

But how do you manage these people? You have to work on their fears and their lack of skills. Send them on courses to work on their emotional intelligence and to learn how to negotiate and to influence people. Create a safe environment where they can practise these new skills. Give them encouragement every time they delegate. Show them that control is not all or nothing, and that, paradoxically, they can increase their power by letting go.

Situation

Mr Jim Elford is the head of sciences at Nene Valley Technical College in Northampton. He approaches you with the following request:

"At the latest staff meeting, we were presented the enormous energy costs of this college in 2006, and we all agreed that something must be done about them. I was chosen to set up a plan, and I need your help. Apart from other measures, I think the key issue is that students and staff must be reminded to stop wasting energy as they have been doing over the last years. In the laboratories, libraries and classrooms, people never switch off the lights or shut down the computers when leaving the rooms. Windows and doors are left open, the heating is set at full volume, and more often than not even water taps keep running all day, and probably all night, too. This has got to stop."

He asks you to draft a notice under his name for the notice boards in the corridors, adding that unless people became more energy-conscious, the college would have to stop allowing students to use the rooms and equipment whenever they wished.

You are the assistant to Ms Caroline Foot, sales manager at 'FootPrints' Design and Print Solutions in Stoke-on-Trent.

Ms Foot asks you to draft a reply to the following letter. She says, "This is not any mistake that we can be held responsible for. I checked the files we received by e-mail personally, and of course the telephone number is wrong there, too. Anything else would have been a surprise. I assume the designer for the 'White Elephant' must have made a mistake. Now, Mr Barker is a very good customer, has been working with us for ages, please make this a very tactful letter. I would be prepared to print stickers for him with the correct number for a very low price – or can you think of anything else we might do to help the situation? Please have the letter ready for my signature.”

Printing Error in our 2007 brochure

Unfortunately, the 5,000 brochures delivered to us this morning are all faulty.

Our telephone number (see above) is 6464064; on the front page of the brochure, however, it says 646464.

This of course is a very big mistake, and it means that we may lose business, because potential guests will not be able to reach us.

I have obviously enquired with my designer, and he confirms that everything was correct when the files were sent to you by e-mail. Clearly the error must have occurred during printing.

This is quite unacceptable, and I would therefore ask you to correct the mistake and reprint the brochures at your expenses.

We need these urgently as we are planning to take part in a travel fair in Gloucester next weekend, so our order must be given top priority.

Electricity, heating and water are all expensive resources and must be saved. We hope you will change your behaviour; otherwise we may not be able to allow you to use all these

Thank you for your letter. I have been trying to reach you on the phone;

unfortunately you were not available. Therefore I am sending this letter to you.

I am sorry to hear that the telephone number printed on your new brochure is incorrect. I have checked the data you sent to us immediately, and I found that the mistake is clearly visible on the screen.

We never change any content of files sent to us unless the clients ask us to, therefore we cannot be held responsible for this problem.

Of course, we would like to help you solve the situation as best we can, and therefore propose to produce a small sticker to paste over the telephone number. This could be done at very little cost (£ 50.00 for 5,000) and would take very little time. A complete reprint of the brochures would certainly take too long and double your costs.

I am sorry about the inconvenience this means for you, and I hope you understand our position.

A suitable answer would be as follows:

I would prefer to work in an office with other people around me. Working at home may be good for certain tasks, but not for the whole time. Colleagues may help with questions and give support if something does not work. Working at home also has the danger that you may not watch your working hours closely and work too long. It would also not be a good idea for me to mix my private and work surroundings; I need a place where I can relax.

An alternative could be as follows:

Working at home is real freedom. I can organise my day independently, and do not have to adjust to a company routine. In many situations, I can concentrate much better when I am alone, and I will not be disturbed by other people talking on the phone or to each other or to me. At the same time, I will not disturb other people, for example when I want to listen to music while working. And because of modern communication via the internet, it does not matter where you are anymore, you can do a good job anywhere.

"5 sentences" is to be understood as 'at least 5 sentences', i.e. a longer text version does not necessarily result in a better mark!
